External Party Access

The power of real-time communication with Synco now extends beyond just your company

 

With Synco, you can now have efficient and real-time conversations with everyone involved in your property management universe - whether it's your internal team, suppliers, vendors, or clients. Synco allows you to seamlessly bring individuals from outside your organization into your Synco conversations. By simply adding them to a Synco conversation, they will receive an email and can respond directly. Their responses will be added in-line into the conversation in Synco, making issue resolution quicker and ensuring your team stays on track. This feature also promotes easy collaboration, enabling you to work together effortlessly. 

 

When to use External Party Access

  • Vendor/Supplier Communication:
    Your property management universe extends beyond your internal team to the suppliers you rely on as well. Now, you can add a trusted supplier to any Synco conversation to loop them in and quickly get their opinion or let them know you need their help. They can respond in real-time and be a part of the ongoing communication around an issue or topic. 
  • Communication with Owners:
    If you manage properties on behalf of another entity, you need a fast way to send information, reporting, and requests to the owning entity. Any Synco conversation can now be sent to any external email address and get responses back in Synco, without leaving the app. 
  • Outside Partner Communication
    Dealing with external parties like lawyers, banks, or insurance companies means lots of emails back and forth. Not anymore - if you have a photo, document, or message you need to send to someone outside your organization, you can simply add them to the Synco conversation and get a quick response. 

 

How it works

Adding an external person to a Synco conversation sends them an email they can respond to, and responses they send via email are added in-line to the Synco conversation. 



  • To add an external user to an existing conversation simply click on the new external user button under the message compose box.

 

  • Enter the external party's email.

 

  • Once the email is added to the message compose box, type in your message and hit send.



  • Your message will be added into the thread in Synco and your external party will receive an email with your message and any prior messages in the conversation. 


  • When the external party responds to the email, that message will be added to the Synco conversation so your team can see it and reply. Any replies go back to the external party as an email, making for seamless communication back and forth. 

NOTE: Please be aware that any future messages in a conversation that includes an external party will result in an additional email being sent to the external party. This ensures that all parties involved are kept up to date on the ongoing communication.

 

If you have internal conversations that involve sensitive information but still need to include external parties, Synco offers a solution. You can create a Linked Conversation, which allows you to keep your internal discussions private while involving an external party on a limited basis (we also recommend using Locked Conversations for any sensitive conversations). These features ensure that you can maintain the confidentiality of your internal conversations while still collaborating with external individual when necessary. Using these features together allows users to share only the relevant messages & attachments with the external party.

Letting Your Vendors Know You're Using Synco

You can inform your vendors about your team using Synco and let them know that they may receive emails from your team that will have a slightly different appearance.
